What is Calendar Sync?

Calendar Sync is a way of linking two or more digital calendars together so that information on one is shared to the other. This is done using a format called iCal. Many companies use it to help employees know when their colleagues are busy, or you might use it at home to help you coordinate family plans and commitments. In the vacation rental industry, Calendar Sync is used to let a calendar on one website know when a property is or is not available based on information from another website.

Do I need a Calendar Sync?

If you only use one calendar to manage your property availability, you don’t need to set up a Calendar Sync. Using Your.Rentals means you can list your property on as many websites as you want, but you only ever need to update one calendar to keep everything up to date.

If however you have an account on a sales channel, or you use an external calendar you should definitely set up a Calendar Sync.

How do I set up a Calendar Sync?

Managing multiple calendars can be complicated, so the first thing to do is to consider whether you really need to keep using all of your calendars. If you connect to a channel through Your.Rentals, you’ll be able to manage your calendar, bookings and listings just by using your Your.Rentals account. Managing your property directly on a channel means you’ll have to manage everything there too. But if you prefer to keep using the external calendar, you need to do two things:

  1. Import the calendar to Your.Rentals. This means that bookings and blocked dates added to this calendar will be added to your Your.Rentals calendar. In turn, Your.Rentals will send this information to all of the channels you are connected to, so guests won’t be able to book those dates.
  2. Export your Your.Rentals calendar to your external calendar. This means that the dates in Your.Rentals will be added to your external calendar whenever you receive a booking so that they can’t be booked by other guests.

What if I have more than one external calendar?

This is where it can get really tricky. If you’ve got more than one external calendar, not only do you need to synchronise all of them to your property management tool, but you also need to synchronise them to each other. The more calendars you have to manage, the more complicated it gets!
