What is Guest Registration?
Guest registration refers to the official recording of guest details upon arrival at a property. This process is mandatory in several countries and is used for legal compliance and public safety purposes.
All guests, whether they have a confirmed reservation or are walk-ins, must provide:
- Full name
- Email contact
- Passport or national ID
- Other country-specific details as required
Hosts are legally responsible for collecting and transmitting this information to the appropriate authorities, ensuring guest data is handled securely and privately.

Spain: Guest Registration Requirements
Legal basis: Royal Decree 933/2021
Authority: Spanish Ministry of Interior (SES.Hospedajes)
Key Steps:
Two data submissions required:
- Upon guest check-in
- Upon booking confirmation
- Guests must complete the “Parte de Entrada” form (one per guest).
- Data must be submitted within 24 hours of check-in.
- Reports are sent via the Ministry of Interior's online platform, requiring Cl@ve or a digital certificate.
📌 Retention rule: All reports must be saved digitally for at least 3 years.
How to Register a Guest in Spain
Previously, there was only one single dispatch of the travellers’ report, which was sent to the different security forces such as “Hospederías de la Guardia Civil” and “Policía Nacional” (National Police), depending on the autonomous community. Under the new regulations, two submissions are required and both will be sent directly to the Ministry of the Interior (Ministerio del Interior).
In contrast, the new standard requires two different information submissions taking into account two different moments of a booking. These are:
- The first is the date on which the booking is confirmed by the host.
- The second is when the client checks-in to the accommodation.
Guest Registration Platform – Ministry of the Interior
The Ministry of the Interior has set up a platform in its Sede Electrónica to facilitate the registration of documents and the information to be provided by private hosts and property managers who carry out accommodation activities.
To access the registration process, users must have a digital certificate or be registered in Cl@ve, and once the corresponding form has been completed, all the data necessary to operate in the application will be obtained.
💡 Note: Cl@ve is an electronic identity verification platform for the secure identification and authentication of citizens in their dealings with Public Administrations. In this case it is relevant for rental hosts and property managers.

Italy: Guest Registration Requirements
If you host short-term stays in Italy, guest registration isn’t just a best practice — it’s a legal obligation. Under Decree 16 September 2021, accommodation providers must report guest details through Servizio Alloggiati, the official system managed by the Polizia di Stato. Oversight sits with the Italian Ministry of Interior and the Italian Police, and the rules apply broadly to anyone welcoming travelers for paid stays.
In practice, that means you’re responsible for registering every guest — not only the lead booker.
What hosts are required to do
Italy’s requirements are strict and time-sensitive:
- All travellers must be registered, including every member of a group or family.
- Guests must provide personal details such as name, date of birth, nationality, and ID document information (document type/number, place of issue), as well as the purpose of trip.
- Hosts must submit this information to the Ministry of Interior within 6 hours of check-in.
- Guests cannot register directly with the police — legally, the responsibility sits with
the host or property manager.

point.
How Servizio Alloggiati reporting works
Guest data is transmitted through the official Servizio Alloggiati platform, run by the Italian Police. The challenge is making sure you collect the right details in time, in the right format, for every single traveler—without turning check-in day into a paperwork scramble.

Greece: Guest Registration + myDATA E-Invoicing
What Greece requires
Greek STR compliance typically comes down to two core obligations:
1) Guest registration (AADE/IAPR). You need to collect and maintain required guest details and declarations for each stay.
2) myDATA e-invoicing (AADE). You must report booking/sales data to myDATA and issue compliant receipts, including the Climate Resilience Tax where applicable.
